Why Orientation Confirmations Matter
One of the most frequently missed — and most frequently audited — requirements in the J-1 Exchange Visitor Program is the orientation confirmation.
22 CFR 62.10 requires every exchange visitor to receive an arrival orientation, documented in writing. 22 CFR 62.25(j) imposes the same requirement on host families. In practice, here’s how most sponsors handle it today:
- Paper form, hand signature → scan → email → folder somewhere on a shared drive
- Signature page missing → call the coordinator → schedule another visit → 6-week delay
- An auditor asks “show me this student’s orientation record” → 30 minutes of file searching

Two Confirmations, One Workflow

1. Host Family Orientation Confirmation
The Local Coordinator (LC) creates the host family orientation record during the initial home visit, from inside the LC portal.

Once the record exists, the host family logs into their portal at /hf-portal/orientation and signs directly using a canvas-based digital signature. No second visit, no lost signature page, no scanning.
2. Student Orientation Confirmation
When the student arrives, the LC creates an arrival orientation record:
- Orientation date and location
- Home country and contact information
- List of materials provided to the student
The student then reviews and signs from their own portal at /my-portal/orientation-confirmation. The student’s own e-signature is the linchpin of 22 CFR 62.10 compliance.
